Subject: Quick question about our new domain 👋

Hi Jordan, I ran into a problem with my email. I sent a launch announcement to our clients, and most of them found it in their spam folder. Our domain is only a few weeks old and has never sent campaigns before. Could that be the reason? How do I warm up a new domain and mailbox?

How to Create a Free Email Signature in 4 Steps

To create a free email signature with Warmy, choose a template, add your personal and company details, add a photo and social links, then copy the signature as HTML and paste it into your email client’s signature settings. The whole process takes about a minute.

  1. 1

Choose a template. Pick one of four layouts. You can switch later without losing what you’ve typed.

  2. 2

Add your details. Your full name, job title, email address, phone number and website.

  3. 3

Add your company. Company name and address, if you need one in your signature.

  4. 4

Add a photo and social links, then copy. Click Copy as HTML for a formatted signature or Copy as text for plain-text emails, and paste it into Gmail, Outlook, Apple Mail or Yahoo Mail.

A Free Email Signature Builder Made by Deliverability Experts

Plenty of tools make a nice-looking signature. We look at it the way we look at every email: what does the recipient see, and what does the receiving server see? That’s the work we do every day for 35,000+ businesses.

Look Professional From the First Email

A clean professional email signature tells people who you are, where you work and how to reach you, without them having to scroll back through the thread. It’s your business card at the bottom of every message.

Lightweight by Design

Every template uses simple, email-friendly HTML with only the links you add and no tracking. A signature can’t guarantee inbox placement, but it shouldn’t add extra weight or risk to your emails either.

Ready in About a Minute

Pick one of four templates, fill in your details and copy the result as HTML or plain text. You don’t need design skills, an email signature designer or a single line of code.

Your Signature Looks Great. Does Your Email Reach the Inbox?

A signature helps people trust your email. Inbox placement depends on other things: your domain’s reputation, your SPF, DKIM and DMARC setup, how much you send and how recipients react. If any of those is off, even a well-made signature won’t keep your emails out of spam.

That’s the part Warmy handles:

What Is an Email Signature Generator?

An email signature generator is a free online tool that turns your name, job title, contact details, photo and links into a formatted signature you can paste into any email client. Instead of fighting with HTML tables or a signature editor that strips your formatting, you fill in a few fields and copy the finished result.

Some people call it an email signature creator, an email signature maker or a signature block generator. They all do the same job. Warmy’s version is built and maintained by the team behind our email warm-up and deliverability platform, so we care about how the code behaves in real inboxes, not just how it looks in the preview.

HTML Email Signature vs. Plain-Text: Which Should You Use?

Use an HTML email signature for everyday business email, when you want a photo or logo, icons and clickable links. Use a plain-text email signature for first-touch cold emails, high-volume sequences and apps that only accept text. Warmy’s generator gives you both: Copy as HTML and Copy as text.

HTML Email Signature vs. Plain-Text: Which Should You Use?
HTML signaturePlain-text signatureImage-only signature
What it isFormatted layout with photo or logo, icons and clickable linksText only, no images or codeYour whole signature saved as one picture
Clickable linksYesMost clients turn URLs and emails into links automaticallyNo
If images are blockedText and links still showNot affectedNothing shows
Best forClient communication, replies, warm leadsCold first touch, sequences, Gmail mobile signatureNot recommended

Why not an image? Many email clients block images until the recipient allows them, so an image-only signature can arrive as an empty box. Mostly-image emails with little text are also a pattern spam filters have long associated with junk mail. A real HTML email signature generator keeps the text as text, so it reads fine either way.

What to Include in a Professional Email Signature

A professional email signature should include your full name, job title, company name and one or two ways to reach you. A photo or logo, a website link and one social profile are optional extras. Keep it to 3–6 lines.

Full nameAlwaysUse the name people know you by
Job titleAlwaysKeep it short: “Head of Sales”, not the whole org chart
Company nameAlwaysLink it to your site only if you don’t have a separate website link
Phone numberRecommendedOne number, with the country code if you work internationally

Email addressOptionalThe recipient already has it, but it helps when your email gets forwarded
Photo or logoOptionalSmall and light; skip it in first-touch cold emails
Social iconsOptional1–3 profiles you actually use; LinkedIn first for B2B
Postal addressRequired in commercial email to US recipientsThe US CAN-SPAM Act requires a valid physical postal address in commercial messages, and that includes cold sales emails. The signature is the natural place for it. Other countries have their own rules.

Business, Personal and Cold Email Signatures

Email Signature Best Practices for Deliverability

A well-built signature rarely sends an email to spam on its own. But it adds code, images and links to every message you send, and filters weigh all of that together with your domain reputation and authentication. These habits keep your signature from adding extra risk:

  • Keep images small. A common rule of thumb is about 50 KB or less per image. Use PNG or JPG hosted on a reliable domain.

  • Limit links. Two or three links in a signature is usually enough. Every URL is something filters can check against blocklists.

  • Don’t turn the signature into one image. If images are blocked, it disappears, and mostly-image emails look like junk mail to filters.

  • Leave tracking out of the signature. Redirect links and tracking pixels add weight and can look suspicious. If you need click data, track links in your sending tool instead.

  • Link to your own domain. Links that match the domain in your From address look consistent. Link shorteners don’t.

  • Keep it short. Gmail caps signatures at 10,000 characters, and you’ll never need that much. Lean HTML also keeps the whole message small: Gmail is widely reported to clip emails over about 102 KB.

  • Use web-safe fonts. Arial, Helvetica, Georgia and Verdana look the same almost everywhere.

  • Test before you send at scale. Send a test email to a seed list and see where it lands.

What should a signature look like in a cold email?

“In a cold email, your signature has one job: prove you’re a real person at a real company. Keep it to three or four lines of plain text — name, title, company, one link — and save the logo and the social icons for when the conversation has started.”

What signature mistakes hurt deliverability most often?

“The mistakes I see most often are link shorteners, links to a domain you don’t send from, and a stack of social icons — each one adds a link and an image to an email that should look like a note from one person. The worst case is a signature that’s a single image: to a spam filter, that’s text you’re trying to hide.”

Images or no images on the first email?

“No. In the first email, skip the logo, the headshot and the banners: many inboxes block images from senders they don’t know, so people see empty boxes, and an image-heavy email from a stranger reads like marketing. Add the logo once the prospect has replied.”

How to Set Up a Cold Email Signature

For the first email in a sequence, use Copy as text and keep your name, title, company and one link. If you email US recipients, keep your postal address in there too. Add the photo or logo back for replies and follow-ups, once the conversation is going. Running outreach with AI SDRs or across dozens of mailboxes? Warm up every new inbox before it sends its first cold email.

How to Add Your Signature to Gmail, Outlook, Apple Mail and Yahoo

After you click Copy as HTML or Copy as text, paste the signature into your email client. Here’s where to find the setting in each one.

Gmail

Click the gear icon → See all settings → General → Signature → Create new. Paste your signature, choose it as the default for new emails and replies, then click Save Changes at the bottom of the page.

Email Signature Generator FAQ

An email signature is a short block of text at the end of an email with the sender’s name, job title, company and contact details. It can also include a photo, logo and social links. Most email clients add it to every message automatically once you set it up.

Yes. It’s a free email signature generator: you can build, copy and use as many signatures as you like at no cost and without a credit card.

No. Choose a template, fill in your details and copy the result. The checkbox under the preview is optional and only for people who want product tips from Warmy.

Yes. The HTML is built for email clients, so it works in Gmail, Outlook, Apple Mail and Yahoo Mail. Classic Outlook for Windows renders HTML with Word’s engine, so spacing can shift slightly. Send yourself a test email to check.

Rarely by itself. If your emails already land in spam, the cause is usually your domain’s reputation, missing SPF, DKIM or DMARC, or how recipients react to your emails. Run a free deliverability test to see where your emails land and what to fix.

Yes. Step 4 of the generator lets you add a headshot or logo and links to your social profiles, including LinkedIn.

Upload a headshot at around 200×200 px and a logo at 200–300 px wide. They display smaller, so they stay sharp on high-resolution screens. Try to keep each file around 50 KB or less.

Yes. Use the same template for everyone and change the names and titles. Agencies can then manage each client’s mailboxes and warm-up in separate Warmy workspaces.

Yes, it runs in a mobile browser. Keep in mind that the Gmail mobile app only supports plain-text signatures, so use Copy as text there.

Come back to the generator, rebuild your signature with the new details and paste it over the old one in your email settings. It takes about a minute.
